How does the AI WhatsApp CRM work?

The Lead AI CRM connects to WhatsApp Business through Meta’s Embedded Signup — one-click, with no manual API configuration — and puts a multi-agent inbox inside WordPress.

The AI element is the auto-reply. It runs on ChatGPT, Claude or Gemini — you choose — and is configurable per conversation, so it can handle first-response on some threads while a human takes others. It answers from your knowledge base rather than generally, which is what stops it inventing things about your business.

Around that sit the unglamorous parts that make a CRM usable: conversations assignable to team members, Meta-approved message templates managed from the dashboard, bulk template messaging filtered by group or status, automated Day 1 / Day 3 / Day 7 follow-up sequences, rich media, saved quick replies, and a floating WhatsApp button for your site with business-hours scheduling.

Lead management runs alongside it: statuses from New through Contacted, Qualified, Won and Lost; contact groups with bulk actions; a five-step email verification engine (syntax, disposable check, MX lookup, SMTP verify, catch-all detection); and a CSV/XLSX importer that auto-maps columns from WooCommerce, Mailchimp or any CRM export.

What does the AI Lead Scraper do?

The AI Lead Scraper pulls real business data from the Google Places API — name, phone, website, address, rating, reviews, Maps link — then uses Gemini to fill the gaps by reading the business’s own website for missing emails, social profiles and descriptions.

Nine scrape types are available, including Places API search, AI search, businesses with no website, social media, Instagram hashtag, directories and new businesses. Phone-prefix filtering keeps results to a target region — +9715 for UAE mobile, for instance — and global deduplication runs on email, phone, name-plus-city and Google place ID, so repeat scrapes do not create duplicates.

Practical limits, stated plainly: a scrape returns up to 60 leads (three pages of twenty), with a live log as each one is found, scrape history with duration and error counts, and automatic retry with exponential backoff when Google rate-limits. Google charges roughly $0.04 per Places request, about $0.40 per 200 leads — paid to Google, not to us.

Leads land in the CRM with their source recorded, ready for WhatsApp or email outreach.

How do the email and forms plugins fit in?

Email Campaigns sends HTML email from the same lead database. It has a visual template builder, embeds WooCommerce products with prices and buy buttons, pulls in recent blog posts, and supports personalisation tags such as {{business_name}} and {{city}}. Open and click tracking feed a live stats dashboard.

The operational details matter more than the builder: bounce handling marks failed addresses and retries up to three times, pausing on SMTP quota errors; three SMTP modes are supported; the queue has configurable batch size and delay to stay inside sending limits; and a List-Unsubscribe header is added automatically for compliance.

Forms & Knowledge Base does two jobs. The form builder produces embeddable forms via [gls_form id="X"], and every submission creates a CRM lead automatically, with submitted phone numbers becoming WhatsApp contacts. The knowledge base is what makes the AI replies specific — add company information, FAQs, pricing and policies, or import existing WordPress pages and WooCommerce products, and the chatbot answers from that.

Costs paid elsewhere, not to us: your AI provider’s API usage (OpenAI, Anthropic or Google), Google Places requests at roughly $0.04 each, WhatsApp Business conversation charges from Meta, and your own SMTP provider if you use custom sending. All four plugins are listed on the plugins page.

Where does the data live?

In your WordPress database, on your hosting. These are self-hosted plugins rather than a SaaS product, so leads, conversations and knowledge base entries stay on your server.

What does leave it: the text sent to whichever AI provider you configure for auto-replies, search queries sent to Google Places, and messages passing through the WhatsApp Business API. That is inherent to using those services, and worth understanding before you switch AI replies on for customer conversations.

Common questions

Do I need technical knowledge to run this?

To install and configure, no more than any WordPress plugin. To get value from AI auto-reply, yes in one respect: the knowledge base needs real content in it. An empty knowledge base produces vague answers.

Which AI model should I choose?

All three are supported and you can change it. The practical difference for auto-reply is cost per message and how each handles being told to stay within its source material. Start with whichever you already have an API key for.
